Tri-State CAMP Conference:
Registration, Policies, and Important Info

Please note registration for attendees (group or individual) are for summer camps only. This is not an option for vendors or companies or people who want to attend the conference to sell to or network with summer camps for the purpose of building your business. Any questions please contact us.

Conference registration packages are for up to 5 attendees from the same camp/organization. If you are registering more than 1 person for the event, this is the recommended registration option to receive the best rate per person.

Add-on tickets are $75 per person after your first 5 attendees despite membership status.

Registration fees do not include meals, hotel, or travel.

* All first-time Not-For-Profit Camps MUST provide a copy of their IRS determination letter proving their Not-For-Profit status.

**An ACA Affiliate Camp is one that pays affiliate service fees for their camp. Affiliate Camps receive special discounts for our enriching professional development programs. An Affiliate camp can then become part of the Accreditation process, which is the best evidence parents have of a camp's commitment to a safe and nurturing environment for their children. Camp professionals who are ACA members but whose camps are not affiliated may not take advantage of the individual member rate or sign up as an affiliated group.

 ***As a reminder, all registrants associated with your Conference Registration MUST be directly affiliated with your camp. Organizations that own multiple camps must register each camp separately. If you have questions regarding the Tri-State policy, please call our office at 212-391-5208, so that we may assist you with the registration process.

Cancellation and Refund Policies

All cancellations must be received in writing and sent to ACA, NY and NJ by February 9, 2025. Cancellations received by February 9th will be refunded minus a $150 administrative fee. Cancellations received after February 10th will not be refunded. 

If the ACA, NY and NJ cancels the event for which you have registered, the registration fee paid will be held on account for a future event or fully refunded if you prefer. ACA, NY and NJ is not responsible for any expenses incurred by you as a result of your registration, whether the event was attended, postponed, or canceled.

Badges

Conference badges will reflect the camp name that each attendee registered with. We are not able to change your camp name. You must be registered under the camp/program you directly work with.

Attendee List Email Scam

ACA, NY & NJ never sells attendee lists through a third party or otherwise.  It has come to our attention that emails are circulating regarding purchasing an attendee list for this year’s Conference—this is a SCAM and is in no way affiliated with the ACA, NY & NJ. They do not have any attendee information. We do not know how they get a list of people to market to, but it is not through our organization. We know it is a disruption and an annoyance and we apologize for this.

File a Fraud Report - Help stop them!

If your company has received fraudulent emails or phone calls soliciting you to purchase attendee lists, book hotel rooms, or other products/services - file a report!

How to file a fraud report:

  •  Go to Federal Trade Commission: ReportFraud.ftc.gov

  •   Click on "Report Now"

  •   For Question 1:  "Is your report about any of these common problems?"
        Select "An Impersonator" (top left answer)

  •   For Question 2:  "Who were they pretending to be?"
        Select "Well-known or trusted business"

  •   Click "Continue"

  •   Add as much information as you have and submit!

Thank you for helping us report these frauds - with enough complaints, we can work to stop these practices from targeting exhibitors!

Conference Status

The ACA , NY and NJ staff & the team of volunteers work ALL year to get ready for the Tri-State CAMP conference. The conference will run regardless of inclement weather. If you have any questions, please feel free to reach out. 

We do not offer refunds for the conference due to weather unless the conference is directly affected and we are not able to operate. If the conference starts and we are operating as usual, we are not offering refunds. Unfortunately, weather where you are may differ from weather where the conference takes place. If there is a state of emergency where the conference is taking place or a weather emergency, we will determine refunds on a case by case basis after the conference has ended. 

Children at the Tri-State CAMP Conference 

We all love kids—that’s why we are in the camp business. However, for the safety of your children, there will be no children under 16 years old allowed in the vendor hall or session rooms. We also ask that you don’t bring children to any sessions or the general session/keynote so that everyone can hear and learn without any disturbances.

  • Children are welcome to enjoy all public areas of the convention center and the Ben Appelbaum Lounge.

  • Please note that there is no babysitting available at the conference.

  • If you are breastfeeding/pumping and would like a private room while at the convention center, please contact info@acanynj.org before the conference for details.

Food & Beverage

Food is available for purchase throughout the convention center. There is a food court at the back of the exhibit hall, on the 3rd floor outside of the Ben Appelbaum Lounge & on the 4th floor near the center escalators. There are water fountains and water coolers located around the convention center & a water filling station inside the exhibit hall (when opened).

If you have any dietary restrictions, please come prepared with your own food. This includes, but is not limited to: Kosher Food, Gluten-free, Allergen-free or Vegan.

Lost and Found

If you lose an item while at the conference, please stop by the registration desk. If you find an item, please drop it off at registration. Once the conference ends, all items will be handed over to security staff at the convention center.

No Soliciting

Anyone observed to be soliciting in the exhibit hall aisles, session rooms or public areas, or in an exhibitor's booth will be asked to leave immediately. Additional penalties also may be levied. Please report any violations you observe to Show Management.

The Tri-State CAMP Conference (run by the American Camp Association, NY and NJ) works to promote a welcoming environment at its conference that is safe, collaborative, supportive, and productive for all who participate, including, but not limited to attendees, exhibitors, volunteers, service providers, staff, speakers and guests. Continuing Education Credits

Did you know you can earn Continuing Education Credits by attending the conference?  If you attend the full 3 days you receive 17 credits. Please request your CECs through our mobile app!

Are you a teacher/educator and want to request days off to attend the conference? Below is a form letter to edit and send to your administrator!

Budget Justification

We understand that cost can provide a barrier to entry. To support you in your efforts to apply for professional development spending, we have created a budget justification letter that can be edited and shared with your administrators/superiors for approval.
